Friday, January 31, 2020

Dear Faculty,

Thank you for all your support and help with covering and caring for absent colleagues this week. There is a lot of sickness going around and so we encourage everyone to be super vigilant with hand washing to avoid spreading it further. On a separate note, parents really enjoyed being welcomed into your classrooms and spending the time learning about literacy instruction across the grade levels.

Thank you’s and shout outs…
  • The grade 4 team would like to thank Mary Kelly for all the work she has done with us in both writing and reading. We really appreciate your support. We'd also like to thank Jen and Clinton for helping us pull off a great science showcase.
  • Thank you to all who covered classes to complete the student-teacher survey.  This is important data and we appreciate it being conducted so smoothly.
  • Thank you Leontheen and Linda who are hosting the Roots and Shoots field trip this weekend.

Continuity of Instruction
As has been communicated to the community, we are keeping a close watch on the developing news regarding the Coronavirus. We have seen swift action taken by authorities in some countries to control the spread of the virus. For example, many schools in China are closed until mid-February. At this point, there is now a confirmed case in Kerala, India. While we are hopeful that Chennai will remain unaffected by the virus, "an ounce of prevention is worth a pound of cure." Should at any point in the future we need to temporarily suspend classes, we will move to Continuity of Instruction as swiftly as possible. Kindly keep this in mind in the coming weeks. Further to health and safety, please redouble your efforts by encouraging regular handwashing with students as this is the best defense against any virus.
Discovery Studio Update
Jen will be out on leave for at least the next three weeks. Clinton will be leading all of the lessons while Jen is away. If you have any questions about an upcoming lesson or scheduling time in the Discovery Studio, please direct those questions to Clinton.
Emergency Drill - 6 Feb
As per the schedule our 3rd Emergency Drill for this year will be conducted on 06th Feb, 2020 (Thursday) at 1345 Hours. It will be a “Bomb Threat” evacuation situation.

Situation: Evacuation to Safe Haven
EMERGENCY EVACUATION DRILL GUIDELINES:
  1. Once we have an indication/alarm of an emergency situation, all students and staff should maintain silence at all times to ensure that directions can he heard.  The indicator is a wailing alarm.
  2. Safe Haven is located at the gym. The Safe Haven will be used as the school’s “Lockdown” option according to the type of emergency and specific instructions. The Safe Haven is equipped with food and water supply for 72 hours for all students and staff.
  3. All classes/groups should lock their Classroom/Offices, form in straight alphabetical lines and maintain the lines until further instructions.
  4. The responsible teacher should be at the front of the class/group so that they are accessible to principals.
  5. Groups should not sit unless instructed to do so.
  6. Silence is maintained until the drill is over and students are released.
  7. Do not use elevators.
All Teachers: Please carry the emergency booklet and class roster with you when you leave the class room.  The RED and GREEN sign are inbuilt in the booklet.
Note: During an emergency situation the security staff - (QRT - Section Marshal) - on duty will pay his first attention to ensure safe evacuation process of students/staff using wheel chair through the available safe channel - it is an additional support to lead.

Communication Guidelines Regarding Behaviour
As we head into the second semester, we’d like to draw your attention to our communication guidelines for contacting parents regarding any behaviour concerns.
From our handbook:
  • If you see a pattern of challenging behavior or unusual behavior, consider contacting parents to get more information and to garner support.  We consider a pattern to be 3 observed instances.
  • Remember that children often have very different behaviors at home and school.
“Dear Mr Patel,
I’d like to reach out to you for support and more information about Parvati’s behavior in 4MG. For the past three days Parvati has been inattentive in class, and does not respond to redirection. I have had three conversations with her but her behavior has not changed. Is there any information that you can share that might help me understand her behavior?
We would really encourage you to discuss this at home with Parvati.
Please do be aware that ongoing behavior issues may be referred to the counselor or leadership team for follow up.”

*  This communication can come from any teacher working directly with the child. If it is coming from a specialist teacher, the homeroom teacher is to be copied in.

School Day and Late Arrivals
We are reminding parents in this week's Principal's blog about the Late Arrivals. Students arriving after 8:29 am will be issued at late slip at the Elementary reception. If they come to class without a late slip please send them to the ES Office to get one.

Excerpt from the Principal's blog
The School Day at AISC is from 8:30 a.m. - 3:30 p.m. Students are expected to be on campus at 8:25 a.m. and class starts promptly at 8:30 a.m. We begin marking students who arrive at the gate at 8:29 a.m. as late as this means that the child will be late to their first class. Students who arrive late must go to the Elementary Reception or Principal's office for a late pass. Security at the gate will notify the office of any late arrivals.
Please refer to Page 14 & 15 of the Elementary Handbook for more information.

AISC TA Training
Thank you to those faculty members who suggested that, in order to enhance role clarity, we re-initiate our Teaching Assistant “Strand” training from last year with our newer TAs. Last year, during Early Release Strand times, we started the first series of professional learning for assistants, which got very positive feedback. This year, while TAs are still engaged in Responsive Classrooms or Phonics trainings, we haven’t run the fundamentals training, and realize that it would be beneficial. Please look for a schedule of upcoming trainings, happening Friday afternoons from 2:00 - 4:00 PM a few times a month.

Our TA Training Curriculum will include topics from last year including Communication, Instructional Support, Curriculum information, EAL strategies, AISC Beliefs and Values, self-assessment and self-advocacy, and collaborative goal-setting. All new TAs to the 2019-20 school year will be asked to attend; anyone who didn’t complete last year’s strand sessions is also invited.

Any questions? Please reach out to Calley, who will be emailing participants directly. Thank you to teachers for being flexible with TAs’ release time on these Friday sessions.

Have a great weekend!

Seesaw Reflections & Student Led Conferences Prep
Thank you to everyone who contributed ideas to our session on Seesaw reflections and agreements. As a reminder, we have a section agreement to send a weekly “newsletter” communication addressed to parents. Please send this home weekly, by 4 p.m. Friday; if you send it on a different day, please be consistent among your team.

Secondly, each team has its grade-level agreements about posting to student portfolios. We appreciated the meaningful dialogue on Wednesday about how our grade-level agreements may be evolving after reflection and a semester’s worth of implementation. Remember again that some level of consistency is key within grade levels for student portfolio agreements.

This slideshow shows the brainstorming posters that each team and specialist group made to share about their student led conferences thinking. And the ideas are summarized in this Google Doc. If your team generates any great ideas about a protocol to lead students through their portfolio sharing to parents, please send it to us, and we will pass on your good ideas.

Some good questions came up about iPad use for Specialists during the SLCs. After being in consultation with IT, we will confirm expectations with Specialists (PE, Dance, WL, Indian Studies, Art and Music) early next week, about the requirement and role of Seesaw in Specialist conferences.

Field Day Information
Field Day is just around the corner and here is some information to help you all prepare for a day of fun and activity! On these days, the field will not be open for use during recess until all of the equipment is cleaned up and removed. No regular PE classes will run on these days. Please fill out the Role Sign-Up Form before 5:00 on January 31st to ensure that your response is accounted for. We will get back to you all individually with more clarity and instructions once we have an idea of where everyone will be on these days. All students and teachers should wear their ES T-Shirts and bring a change of clothes on Field Day!

From the EAL Department
Based on the EAL Strategy Surveys completed last December, the first of 8 EAL Strategy Talks take place this Tuesday, 28 January, 7:30-8:15am in the SHED. HURRAY! The first session will explore how to intertwine language instruction with content. We'll dive deep into identifying where language development can happen in any given lesson. As a reminder, these EAL Strategy Talks are optional to attend, but to make it a bit enticing... we'll be offering coffee, tea, juice, yoghurt, granola, fresh fruit, and nuts for those who attend, and child care for those who need it. More information can be found on this week's EAL Shout-out! I hope to see you there!

From the HS Design Team
This semester the HS Engineering Design students are doing a client-based PBL project. We would like to offer our product design services to approximately 30 HS teachers as clients for the students to work with. We are looking for those teachers who have a specific project-need, to "employ" (pro gratis) one of the Design students to design and create a product that solves your need. We are opening this up for any ES teacher that would like to avail of this opportunity.
The size and complexity of the project will determine whether it is school-related or personal. If school-related and relatively small to medium then we will be able to absorb the cost of materials. Large personal projects will require you to fund the extra material that will be purchased outside.
Please email me with your need and I will respond back to you if we are able to do it or not. If your project is selected, you will then be contacted by one of our students within the next two weeks. They will meet with you personally to get the details of your project needs and begin the design process. All projects will be completed no later than the second week of May.

Yearbook Photos - Schedule and Student List
Individual Yearbook photos of New Students and students who were absent during the earlier photoshoot in August will be taken from Monday to Wednesday. Please click the Schedule and Student List to view the students who need  photos to be taken. The venue is the BBT.

AISC Libraries Book Swap
The AISC Libraries want to celebrate Earth Week with the community by organizing a way to reuse your previously loved books! If you have any gently used books at home (in any language and/or genre) that you'd like to donate, please bring them to the ES/MS or HS Library. We will accept books for babies, toddlers, children, teens, or adults, as long as they are in good condition. For every two books that are donated, you will receive a ticket for one free book at the Book Swap!
Please contact Barbara Bowman at bbarbara@aischennai.org if you have any questions.

Q12 Patterns
Over the next few weeks, we’ll share some findings from our last conversation about Q12. In the interest of making it digestible, we will share one at a time your feedback on an important point. We’d like to thank everyone for their thoughtful and proactive responses to the prompts in our last Q12 reflection session. While there’s always room for improvement, we are proud of the work that you have done, and the accomplishments we’ve made together. How have you started 2020 strong, by clarifying what’s expected?

Knowing What’s Expected
  • Positive: having a target was helpful
  • Communication has improved: Faculty Forums, early blog, better blog, and referring to the blog all contribute to more clarity.
  • Early Blog Release is a plus. Blog as a whole is better! we read it more!)
  • We feel more clarity for co-teaching models with agreements
  • We understand our personal job descriptions
What can we refine
  • Make sure that blogs are aligned
  • Provide more clarity for TAs - trainings, meetings, job roles & responsibility
  • Suggestions: Informal but scheduled admin check ins, with more time to reflect and give input
If you’ve made one of the suggestions above, please reach out and share your vision of how this suggestion might go forward.

Yearbook Photos
Between January 27th - 29th Individual Yearbook photos of New Students and students who were absent during the earlier photoshoot in August will be taken. The student list will be shared closer to the date.

Mid year PGE Reflections - optional conversation
At this time of year, mid way through your goal cycle, we encourage you to make some mid year reflections on the progress you have made on your professional learning goals. If you would like to process this with your supervisor, you are welcome to make an appointment via Padma/Hazel. We would be more than happy to chat with you about your progress! New teachers will have received information from their supervisors about their formal mid-year write up.

Student-Teacher Feedback
During the week of 27th January, Grade 3-5 students will be completing the Student-Teacher Feedback survey. Keryn, Dave, and Calley will proctor the surveys in Grades 3-5 homerooms on the 27th and 28th. Before students complete the survey, Keryn (Grade 5), Dave (Grade 4), and Calley (Grade 3) will spend 10 minutes talking with the students about the survey and how to write constructive comments.

The  survey itself should take less than 5 minutes to complete. Students should carry their device to specialist lessons that week. (Once surveys are done, no devices are needed to go to these classes). Links will be emailed directly to each student on Monday morning the 27th.

TAs please plan to spend the first 10-15 minutes in one of each specialist lessons for each of your two classes.

Upcoming Literacy Mornings
